Avail is a new car sharing platform focused on improving mobility and reducing the cost of car ownership. We give car owners a way to earn extra income from their idle cars and connect drivers with a convenient, affordable way to drive a car when they want.

Job Description

The Executive Assistant will provide comprehensive and diversified administrative support to the CEO. You’ll enjoy this role if you thrive on converting chaos into order. As the gatekeeper to the CEO’s time, you will play a large role in prioritizing escalations by anticipating his needs, moving quickly, and creatively problem-solving. Along the way, there is lots of opportunity to foster relationships, manage your own projects, and learn how to build and scale a business with a fun team. We are excited to meet you!

Key Responsibilities
  • Build a relationship of high trust with the CEO. Gain a holistic view of the CEO's priorities and business goals, and help ensure he is consistently allocating his time and energy to the highest-leverage areas.
  • Coordinate and maintain appointment schedules and calendar to maximize the CEO’s focused time on his priorities. Proactively take responsibility for calendar management utilizing good judgment and initiative.
  • Process, code, and submit expenses in a timely manner.
  • Work on a variety of special projects as needed, there are lots of moving parts to our business and you’ll have the chance to touch every side.
  • Manage external communication on behalf of and in coordination with the CEO. This will include keeping key contacts and government actors apprised of material Avail updates using provided templates.
  • Manage internal stakeholder communication. We’re a small team within Allstate and you can help our CEO keep them in the loop on the latest and greatest from Avail.
  • Coordinate arrangements for internal/external meetings, conference calls; compile and disseminate materials for meetings and calls as required.

Job Qualifications
  • Typically has 3-7 years of prior experience supporting a large team, executive, or elected official in a fast paced environment
  • Excellent written, verbal and listening communication skills
  • Advanced command of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Detail-oriented & thoughtful
  • Ability to assess work load and re-prioritize as needed, as well as the ability to deal with interruptions and other unexpected events and make necessary adjustments
  • Approaches work with a sense of urgency but can stay calm under pressure
  • Excellent executive presence and trustworthiness
