Job Summary

Reporting to the Head of Executive Recruiting, the Executive Search Coordinator plays a critical role supporting the Executive Search team. You are pivotal partner in providing coordination and support throughout the recruiting lifecycle. You will manage and drive essential activities that keep Executives and Executive candidates engaged and informed throughout the process. This role provides high exposure and interaction with Officers, HRBPs and various other leaders across the organization. This role requires excellent communication, problem solving and judgment skills in a fast-paced environment.

Key Responsibilities

The primary focus of this role is to ensure exceptional Candidate Experience, beginning with interview to offer through start date. Additional responsibilities include:

  • Develop strong working relationships with Leaders and Executive Assistants to ensure each piece of the recruitment process is meeting deadlines.
  • Develop ongoing relationships with search vendors at retained search firms to ensure the successful execution of candidate interactions.
  • Coordinate and schedule all aspects of interviews including phone, video and in-person as well as travel if needed, when business travel resumes.
  • Booking travel for candidates and process expense reimbursement when travel resumes.
  • Scheduling coordination of candidate assessments.
  • Support creation and processing of offer letters and new hire paperwork.
  • Manage and schedule candidate interviews with recruiters and hiring managers, including distribution of interview schedules and evaluations.
  • Coordinate team meetings, candidate prep calls, interview debriefs, etc.
  • Leverage Talent Connection (Applicant Tracking System) to open/close reqs, update candidate activity and status to ensure OFCCP compliance.
  • Serve as a critical partner in on-boarding new hires.
  • Create and distribute regular search assignment reports and other reports utilized for team workload discussion.
  • Track and prioritize requests while monitoring sensitive timelines, deadlines and confidential materials
  • Actively participate in various team and department initiatives and projects focused on client and candidate satisfaction; technology and process improvement; diversity initiatives; employee recognition; social media and marketing.
  • Bachelor’s degree preferred.
  • 1-3 years of professional experience; recruiting coordination or executive search firm experience preferred.
  • Extensive Microsoft Office experience required.
  • Excellent written, verbal and listening communication skills, with a focus on customer service oriented interpersonal skills.
  • Ability to interact directly with all levels of company leadership, executive assistants and external senior-level candidates with ease and confidence.
  • Capability to work on a variety of special projects as needed with multi-tasking as necessary.
  • Ability to take initiative, use good judgment, understand deadlines and carry multiple projects through to completion with an ability to work independently under general direction, prioritize work and ask for further clarification when necessary.
  • High level of accuracy, attention to detail and ability to proof one's own work as well as the work of others.
  • Maintains an advanced degree of confidentiality and sense of urgency at all times.
  • Ability to work under pressure as well as the ability to deal with interruptions and other unexpected events and make necessary adjustments.
  • Ability to influence and persuade various internal and external constituents to drive projects to completion.
  • Actively participate in various team and department initiatives and projects focused on client and candidate satisfaction; technology and process improvement; diversity initiatives; employee recognition; social media and marketing.
Compensation Data

The salary range for this position is $48,000 - $61,000.

The candidate(s) offered this position will be required to submit to a background investigation, which includes a drug screen.
